In line with the strategic objectives of the Secretary-General, the core mission of the Organisation’s Directorate for Financial and Enterprise Affairs (DAF) is to build open and efficient markets and market institutions, combat market abuse and corruption, and promote international co-operation. It pursues this mission through five substantive divisions whose teams provide member and partner countries with policy guidance and support in the areas of anti-corruption, competition, corporate affairs, financial affairs, and international investment.
The Investment Division (DAF/INV) is responsible for advising Organisation Member and partner governments on international investment law and policy, corporate responsibility, investment for development, and foreign direct investment statistics.
DAF/INV is looking for an experienced Events Co-ordinator with excellent organisational and communication skills to contribute to the effective organisation of events and to provide high quality support to the Responsible Business Conduct Unit (RBC).
The selected candidate will be primarily responsible for the organisation of theForum on Responsible Mineral Supply Chains and other events of the Unit related to sector projects and National Contact Points, and the Global Forum on Responsible Business Conduct. In addition he/she will participate in the planning and implementation of the communications activities of the Unit (e.g. creation and editing of contents). S/he will work under the supervision of the Head of Unit and the Head of Division, and in co-operation with the DAF Events Manager as well as DAF/INV’s Communications Officer.
Events co-ordination and knowledge/information management
Assume full responsibility for organising the logistical aspects of events and Conferences for the RBC Unit held at the Organisation headquarters and abroad;
Support the Unit in drafting event agendas and tracking meeting preparations;
Assume full responsibility for the preparation of meeting documents; ensure their quality, timely dissemination and conformity to Organisation/DAF standards.
Liaise closely with all stakeholders including the Directors’ and Secretary-General’s office and EXD services to ensure smooth communication on all logistical aspects of meetings.
Communicate best practices to colleagues for the optimal organisation of events.
Oversee the online platforms required for shared calendars, webinar hosting, conference calls, survey and questionnaire creation, internal and external collaborative workspaces.
Update and disseminate pertinent information on RBC work and related work by the Investment Division and Organisation, and promote the use of information sharing tools (e.g. Sharepoint, eShare).
Contribute to strengthening, structuring and implementing communication activities of the Unit across different communication tools and platforms in order to increase the visibility of its products for target audiences (in particular policy makers).
Organise missions for the Unit staff and invitations for consultants and experts attending meetings in Paris or abroad; coordinate security arrangements for high risk destinations and process payment orders and expense claims.
Ensure the administration of contracting for intellectual services. Advise programme managers on procedures and thresholds, prepare contracts, financial commitments, and payment orders. Respond to all queries from consultants concerning contracts and payments. Liaise with the Division RMA team to ensure compliance with Organisation rules and regulations.
