International Organisation hiring Event Organiser

Background

As a federal enterprise, International Organisation supports the German Government in achieving its objectives in the field of international cooperation for sustainable development.

Field of activity

For upcoming actions in the field  International Organisation aims to strengthen the pool of event organisers mainly to support activities with the European Commission in Brussels.

Tasks

The tasks of the Event Manager comprise, but are not limited to:

  • organising technical meetings (workshops, trainings, conferences, special events)

  • contact and liaise with the list of participants and speakers (send out invitations, reminders, and follow-ups, confirm availability, inquire about the technical equipment needs of speakers, request and receive contributions from speakers in a timely manner, and reply to practical queries on the details of the event, travel and accommodation);

  • book travel and accommodation for participants and speakers;

  • arrange catering services;

  • book the event venue according to the specifications;

  • book the technical equipment;

  • provide digital support devices, as well as notepads, folders and/or pens;

  • arrange interpretation, including provision of the equipment and technical services needed for interpretation

  • collect and prepare event documents, powerpoint presentations and any other materials;

  • produce a list of speakers and participants for the in-situ registration of participants (including name, organisation/department and country);

  • during the event, provide on-site assistance, assist with any queries regarding the event as well as travel and accommodation, ensure event materials are available and distributed;
